Operations Coordinator – Facilities Management

Location: Orpington, Kent (BR5 3QY) – covering London, M25 & South East
Job Type: Full-time

About Our Client

Our client is an established, certified facilities management company serving London, the South East, and Kent. They combine hands-on local management with national standards, delivering both hard FM services (electrical, plumbing, HVAC, handywork, access control) and soft FM services (cleaning, catering, pest control, security) on a planned preventative maintenance and reactive basis.

The Role

Our client is seeking an organised, proactive Operations Coordinator to support daily FM operations across their London and South East contracts. You'll be the central point for operational coordination, ensuring service delivery meets high standards while supporting site managers, technicians, and area managers. This role is ideal for someone with an FM/technical background looking to move into operations – for example, a multi-skilled technician, electrician, plumber, or handyman transitioning from "the tools" into coordination.

Key Responsibilities

  • Coordinate reactive and planned maintenance (PPM) schedules across multiple sites

  • Raise, track, and close work orders from inception to completion

  • Liaise between clients, site teams, area managers, and subcontractors

  • Monitor KPIs and SLAs to ensure compliance with contract requirements

Person Specification

Essential:

  • 2+ years' experience in operations coordination, administration, or FM/technical roles

  • Strong preference for candidates with hands-on FM experience (multi-skilled technician, electrician, plumber, handyman) looking to move into office-based coordination

  • Proficiency in Microsoft Office (Excel, Word, Outlook)

  • Excellent communication skills (verbal & written)

  • Proven ability to solve problems under pressure

  • Willingness to learn administrative systems and processes

Desirable:

  • Existing familiarity with CMMS/CAFM systems or work order software

  • Understanding of PPM and reactive maintenance processes

  • Knowledge of health & safety in FM contexts

  • NVQ/qualification in a relevant trade (electrical, plumbing, building maintenance)
